Therapy Fees & Managing Payments

CSS accepts fees on a sliding scale, and we do not turn anyone away for a lack of funds. However, it is your responsibility to talk to your clients about payments during the first meeting of individual therapy or group therapy, as part of the intake process. It can be easy to neglect to talk about payment since we do not bill insurance, but it is good practice for you to walk through this uncomfortable step with your clients.

 

One way to talk with your clients about fees is to share the Payment Form with them. Let them know that we do not turn anyone away for lack of funds, but our fees are sliding scale. On average, people pay $10 for a session of group and $30-$40 for a session of individual therapy.

 

Ask your clients how much they are comfortable paying, and how they’d like you to check in with them about payments. Follow through on checking in about payments regularly. You can make notes in their progress notes on when they pay, to help you track payments. More information about accepting payments is below, under

Credit cards are the easiest way to accept payments, but CSS also accepts cash or checks.

 

Ways to process credit card payments: 

  • QR codes are in each of the counseling rooms, group therapy rooms, and in the sitting area close to the front desk. You can help your clients scan the codes and input their credit card and billing information, and Square can help them remember for future transactions.

Drop off checks and cash in the locked black cashbox next to the Text Line office. 

  • Cash should go into an envelope and labelled with the client’s name, program, date, and your name. 

  • Checks should include sticky note with the client’s name, program, date, and your name.
